Pending
Where a transaction requires a
second signatory to authorise the transaction, the transaction
can be authorised immediately by getting one of the other
authorised signatories to enter their AccessId & PIN on
the approval screen.
If this information is not entered
the transaction will be stored in the Authorisations Pending
queue for subsequent authorisation. When one of the other
authorised signatories logs on to Internet Banking they will be presented
with a message telling them "You have authorisations pending".
Only transactions on accounts where you have an Access Limit of Full Access will appear in the Authorisations Pending list. Transactions for any accounts where you have an Access Limit of No Withdrawal will not be shown.
You can view the Access Limit on each of your accounts by using the Account Signatories function under the Accounts menu.
Note:
It is the responsibility of the authorising signatory to confirm the details of the transaction prior to authorisation. As per our Terms & Conditions, some transactions may not be able to be recalled.
Viewing Pending Authorisations
To view a list of all transactions
Pending Authorisation choose the Accounts
category from the top navigation menu then click the Authorisations
Pending item in the side navigation
menu.
A list of pending authorisations
will be displayed. The details include:
Created/Effective
The date the transaction was
created, followed by the date the transaction is scheduled to
take place.
From/To Account
Your Bank Account Number that the transaction will be withdrawn from, along with the account description, followed by information on where the transaction will be deposited.
Amount
The amount of the transaction.
Authorised By
The signatories who authorised
the transaction in the order they authorised.
Auths Reqd
The number of signatories required
to authorise the transaction.
Ack #
The unique number allocated to
each transaction.
View File
Select a Bulk Payment transaction that is pending authorisation. Pressing the View File button will display a new window that contains the details of each of the transactions contained in the Bulk Payment uploaded file.
Only one file can be viewed at a time and Bulk Payment files are the only transaction that is able to be viewed.
To enable quick access to view the file you also have the option to click on the file name hyperlink (eg. Pay0014.aba) and it will automatically open the file without having to check the box beside the file name and then select the view file button.
To print these details you should use the Print button on the screen or you can use the standard Print function of your browser which is located on the File menu (i.e. click on File and then Print).
When finished you should shut down the new window by using the Close button on the screen, or by using the Close function on the file Menu, or by using the Close Window button at the top right hand side of the screen.
Approving, Declining or Cancelling a Transaction
An authorised signatory can approve,
decline or cancel a transaction. Simply press the appropriate
button after selecting the relevant transaction(s). A confirmation screen will be displayed prior to the
transaction being processed.
If you have a number of transactions that are waiting authorisation, rather than having to select each transaction individually you have the option of selecting all transactions at once.
After selecting the Select All check box a tick will appear in the boxes beside all of the transactions waiting authorisation. If you don't want to authorise some of these transactions, simply select the check box beside those specific transactions to remove the tick. When you then select the Authorise button all of the transactions will be selected for processing except for the ones you have unchecked.
The same method can be used to Decline or Cancel the transactions.
You can only select those transactions that have not already been authorised by you. If you select any transactions that will not be processed a summary will appear to advise you of why they cannot proceed.
Note:
You can Cancel transactions you have already authorised but
you cannot Decline or Authorise them (you need to get one
of the other authorised signatories to perform these functions).
For Pay Anyone transactions the Account Name may not be cross-matched against the Account Number by the receiving institution. Please ensure that the Account Number is correct before approving this payment.

Authorisation History
Authorisation History allows you
to search for details of transactions which have been authorised,
cancelled or declined. From the Authorisation History screen
you can display a history of all your BPAY®, Transfer,
Pay Anyone and Bulk Payment transactions which have been authorised, cancelled
or declined within the last 6 months. If you believe an error
has occurred with one of your transactions, or you just wish
to confirm that your transaction has been made simply enter
the necessary search criteria for that particular transaction.
Click the Authorisation
History button on the Authorisations
Pending screen to display the
Authorisation History screen.
Searching for a particular Authorisation
There are no mandatory fields to
be entered however only those authorisations that match the
criteria will be displayed. Any combination of the following
search criteria can be used:
Select Transaction Type
Choose from the drop down list
one of the following options: BPAY®, Pay Anyone and Transfers.
Select Transaction Status
Choose from the drop down list
one of the following options: cancelled, authorised and
declined transactions.
Transaction Dates (From & To)
Select the day of the month,
the month, and the year, from the drop down boxes to display
any authorisations that were processed within the specified
dates.
Amount Range (From & To)
Enter a lower amount in the From
field and an upper amount in the To field to display all
authorisations made within those amounts, or if you want
to search for all items equal to or greater than an amount
only enter that amount in the From field, or if you want
to search for all items equal to or less than an amount
only enter that amount in the To field.
Acknowledgment Number
Enter the acknowledgment number
(originally provided to you when you successfully scheduled
an immediate, future or recurring transaction). All transactions,
transaction attempts, or error corrections associated with
the single instruction will be displayed.
Action Buttons
There are two action buttons
available:
Search
Pressing the Search button will
start the search process and return you to the Authorisation
Search Results screen.
Back
Pressing the Back button will
return the you back to the Authorisations Pending screen.
Viewing the Authorisation History
The Authorisation History Results
screen will display the following information for each transaction
matching the search criteria entered on the Authorisation
History screen:
Created/Effective
The date the transaction was
created, followed by the date the transaction actually took
place.
From/To Account
Your Bank Account Number that
the transaction was withdrawn from with an account description,
followed by information on where the transaction was deposited.
Amount
The amount of the transaction.
Authorised By
The signatories who authorised
the transaction.

Print
This feature enables you to print only
the relevant information contained on the current page. The
Navigation elements and action buttons will not be printed,
ensuring that all relevant details will fit cleanly on the
page.
To print the current page in a
printer-friendly format, select Print from the top of the
screen (next to the Help link). Then, from the Print Preview
window, select ‘Print’ to
direct the print out to your preferred printer or ‘Close’ to
return to your Internet Banking window.

Print Receipts from Authorisations
Pending
Once you have completed the authorisation
of a transaction a Print Receipt link will become available
for selection
from the top right hand of the screen. To print a receipt
for a financial transaction simply press the Print Receipt
option and you will be presented with a new window containing
the details of the transaction. To print these details you
should use the Print button
on the screen or you can use the standard Print function
of your browser which is located on the File menu (i.e. click
on File and then Print.)
When finished you should shut down
the new Print Receipt browser window by using the Close
button
on the screen, or by using the Close function on the File
menu, or by using the Close Window button at the top right
hand side of the screen.
